Equipment rental contracts cover varied items: earthmoving plant, aerial work platforms, forklifts, generators, site accommodation. The buyer evaluates fleet regulatory compliance (periodic inspections), delivery responsiveness, breakdown response, and equipment quality.

Fleet compliance and periodic inspections

Regulatory compliance is the absolute prerequisite. Each piece of equipment must have a current periodic inspection (VGP) per decree 98-1084. The hirer is responsible for equipment compliance (Labour Code art. R4323). Your proposal must present a fleet listing with: average age, last inspection date, emission standard (Stage V for latest plant), CE marking, and maintenance logbook.

Responsiveness and logistics

Rapid equipment availability is a major criterion for public works sites.

Delivery and transport

Specify your delivery timescales: within 24 hours for common equipment, within 48 hours for specialist items. Detail transport logistics: nearest depot, transport type (low-loader, flatbed), on-site commissioning.

Breakdown and replacement

Breakdown response commitment is a key differentiator. Specify: on-site intervention within 24 hours, replacement with equivalent equipment if repair exceeds 48 hours, telephone helpline for remote diagnosis.

Pricing and rental conditions

Propose a clear tariff grid: daily, weekly, and monthly rates (with degression), return transport (included or fixed price), all-risks insurance (with specified excess), and consumables. Specify inspection conditions (outgoing and incoming), normal wear tolerance, and any remediation charges.

Errors to avoid

Expired inspections — The hirer's liability is engaged. Equipment without valid inspection cannot be provided.

Transport not costed — Delivery cost is often forgotten yet can represent a significant portion of total cost.

No guaranteed breakdown response — Absence of replacement commitment weakens your bid against committed competitors.
